How to book
When you have selected and agreed to undertake one of our standard DuneHopper programmes, or if you are satisfied with any tailor-made programme, draft itinerary and price, you confirm this by fax or letter. NatureFriend Safaris (Pty) Ltd. will then send off a confirmation and invoice to you, or the travel agent, through whom you booked. Your booking is confirmed and accepted by us if you place a 25% deposit for the value of services to be rendered by Nature Friend Safaris (Pty) Ltd..
Final payment is due to Nature Friends Safaris (Pty) Ltd. not later than 8 weeks prior to departure. On receipt of your full payment, we will send detailed tour information. Vouchers, and the final touring programme - unless otherwise specified - will be forwarded to you on arrival in Namibia.
Cancellation
Cancellation of your booking must be in writing. Cancellations are only effective on receipt of written notification. If you cancel prior to 8 weeks before departure your deposit is forfeited. If your cancellation is made after the due date for full payment of your tour fare, charges will be levied. The scale of charges, expressed as percentage of the tour price, is as follows:
- More than 8 weeks notice - Deposit forfeited
- Less than 8 weeks notice - deposit + 25%
- Less than 4 weeks notice - 50%
- Less than 3 weeks notice - 60%
- Less than 2 weeks notice - 90%
Should you fail to join a tour or join it after departure or leave it prior to its completion, no tour fare refund can be made. Please note that if the reason for cancellation falls within the terms of any holiday insurance policy which you should hold, then any such charges will normally be refunded to you by the insurance company, subject to the terms of your insurance.
Change your booking
Should you wish to change to an alternative departure date after your booking has been confirmed, you may do so, subject to availability. Where a transfer is made within four weeks of departure, normal cancellation fees shall apply.
Baggage
Passengers joining any of our fly-in safari tours are permitted one bag which must be the soft sports kit bag type of 20lbs or 10kg maximum. Limitations are strictly adhered to for safety reasons. This excludes camera equipment within reason. In case NatureFriend Safaris (Pty) Ltd. has to arrange for additional services due to excessive luggage carried, any additional costs involved shall be on account of the client.
Wild animals
Please be aware that our safaris may take you into close contact with wild animals. Attacks by wild animals are rare, but no safari into the African wilderness can guarantee that this will not occur. Neither the company, nor their employees, nor agents can be held responsible for any injury or accident on the safari.
Wheather
Please be aware that the desert can be characterised by severe changes in wheather conditions ranging from extreme cold to extreme hot, sand-storms and rain and even snow. Such extreme conditions are rare, but no safari into the African wilderness can guarantee that this will not occur. Neither the company, nor their employees, nor agents can be held responsible for any wheather condition and no refunds shall be paid in the event of guests opting to leave earlier.
Not included
Unless specified otherwise, transfers, airport taxes, personal laundry, insurance, alcoholic beverages and gratuities to pilots and to camp staff, as well as any excursion not related to the safari, personal items and optional meals in restaurants etc. are not included in the tour price.
Responsibility
Neither the company nor any person acting for, through or on behalf of the company, shall be liable of any loss or damage whatsoever arising from any causes whatsoever and without restricting the generality thereof. The aforegoing shall particularly not be responsible for loss or damage arising from any errors or omissions contained in its brochure or other literature, late or non-confirmation or acceptance of bookings, loss or damage caused by delays, sickness, injury or death and whether, occasioned by negligence or not..
In addition the Company shall have the right at any time and at its discretion, to cancel any tour or the remainder thereof or make alterations in route, accommodation, price or other details. The same accounts in the event of any tour being rendered impossible, illegal or inadvisable by weather, strike, war, government or interference or any other cause whatsoever. The extra expenses incurred as a result thereof shall be the responsibility of the passengers.
The Company may at its discretion and without liability or cost of itself, and at any time cancel or terminate the passenger?s booking. Without limiting the generality of the aforegoing, it shall be entitled to do so in the event of the illness or the illegal or incompatible behaviour of the passenger, who shall in such circumstances not be entitled to any refund.
The person making any booking will, by confirming such a booking, warrant that he or she has authority to enter into a contract on behalf of the other persons so included to make payment. The person making the booking shall by his/her signature thereof assume personal liability for the total price of all bookings made by him/her.
Photography
The Company reserves the right without further notice to make use of any photograph or film taken on the safari by our staff for general publicity purposes without payment or permission. We guarantee that no photographs of compromising nature will be used.
Changes to schedule
Although every effort is made to adhere to schedules it should be borne in mind that the Company reserves the right, and in fact is obliged, to occasionally change routes and camps on safaris as dictated by changing conditions. Such conditions may be brought about by seasonal rainfall on airfields or reservation problems.
Refunds
Whilst the Company uses its best endeavours to ensure that all anticipated accommodation is available as planned, there shall be no claim of any nature against the Company for a refund either in the whole or part, if any accommodation or excursion is unavailable or the passenger was unable to use that service.
Insurance
You must take out comprehensive insurance cover before travel for cancellation, medical expenses, personal baggage and money. This should be arranged at the time of payment of the deposit to cover you.
Airline clause
The airlines concerned are not to be held liable for any act, omission or event during the time the passengers are not on board their planes or conveyance. The passengers? tickets in use by the airline or by other carriers concerned when issued, shall constitute the sole contract between the airlines and the purchaser of these tickets and/or passengers. Please note that NatureFriend Safaris (Pty) Ltd. sub-contracts the flying services to independent charter operations who are responsible for the flying. In the event of changes of programmes and schedules, resulting in any additional services rendered due to airline mistake, NatureFriend Safaris (Pty) Ltd. shall be in no way liable for costs arising from such changes and delays.
Prices
We will do our utmost to keep to the prices published. Should increases be forced on us by airlines, exchange rates, new taxes etc. we reserve the right to surcharge without notice, up to a maximum of 15% of the fare.
Delays
We cannot be held liable for any delays due to airlines not running to schedule. When any incoming flights are not on time, the flying schedule of charter companies need to be re-arranged, and inter lodge charter schedules may be changed. Your camp manager will co-ordinate your flight movements with you.
This agreement is made subject to and shall be governed by and construed according to the laws in Namibia. The Windhoek office of NatureFriend Safaris (Pty) Ltd. acts merely as an agent for the operating companies.
Guests requiring special diets are advised to warn us well in advance of their departure. The Company can not be held responsible for any food served at any lodges or camps.
For flight information on how to get to the starting point of your safari, contact our reservations office, your travel agent or your nearest airline office and ensure to re-confirm all flights.
Unless transfers to and from airports at Windhoek and Swakopmund have been booked directly through NatureFriend Safaris (Pty) Ltd., the company shall in no way be responsible for guests? transportation to a hotel.
Consent
The payment of the deposit or any other partial payment for a reservation on a safari construes consent to all provisions of the conditions and general information contained in this brochure.
This agreement is made subject to and shall be governed by and construed according to the laws in Namibia.
